- A registration form should be completed for each child in the family.
The Club should be advised immediately of any change to the information given.
- All families who use us regularly will receive advance notification of the Clubs holiday plans
before each holiday period together with a holiday booking form.
- As places are limited it is advisable to return the booking form as soon as possible.
- Whilst the Club will endeavour to provide places for children with special needs whenever possible,
we reserve the right to refuse to accept bookings where because of either limitation of appropriately trained staff or inadequate
facilities the child's needs cannot be adequately catered for.
- During the school holidays the Club will open daily from 8am to 6pm and after school between 3pm
to 6pm. The Club will be staffed between these hours and it is important that the children are not left early or collected
late.
- We appreciate that from time to time things can happen that can make you late in collecting your
child. If this occurs it is important that you telephone us at the earliest opportunity to let us know what is happening
in order that we can make appropriate arrangements for staff to wait for you and also to reassure the child as some can get
quite anxious when they are the only one left.
- If children are collected late we incur additional costs as a minimum of two staff have to remain
with the child/ren. Regrettably this has to be paid for and will be charged to your account (Please see clause 24).
- Children attending the Club will not be allowed to come and go at will and it is important that
parents ensure that their children are told this.
- Unless notification is given in advance, a child will not be allowed to leave the Club with any
person whose name is not given on the registration form.
- For all the children's well being and safety, children who are ill (other than common cough's
and colds) should not attend. Children who have or are suffering from a stomach upset or a bout of diarrhoea should
not attend for at least 24 hours after the symptoms have cleared.
- The Clubs activity programme will include supervised events and outings. If you do not wish
your child to participate in any activity, please complete the relevant section of the registration form.
- Due to the changeable British weather, it is essential that weather-proof clothing should be provided
everyday. As some activities will be messy it is recommended that children do not attend in their best clothes.
- Morning and afternoon refreshments will be provided to all children attending the Club, please
advise if your child has any likes or dislikes.
- Parents should advise if their child has any special dietry needs and in this event parents should
supply any special foods/drinks as required.
- It is not possible to provide hot lunches therefore all children should bring a packed lunch each
day. All lunch boxes/bags etc should be clearly marked with your child's name.
- Whilst every care will be taken of the children's personal possessions, they will not be covered
by the Clubs insurance policy and no responsibility can be accepted for any loss of or damage to personal property, clothing,
money etc. No child should be left with valuables in their possession.
- All children attending the Club must have been registered and the dates must have been booked
and confirmed in advanced.
- A deposit of £50.00 per family is payable when you register with us for the first time and will
be credited to your account.
- If at any time you notify us in writing that you want to cancel your family registration with
us, we will refund your deposit less any amounts outstanding for any other fees incurred.
- The fees for both after schools club and holidays are available on request and are advertised
at the Club.
- Payment of holiday fees should be made upon booking.
- After school fees are payable weekly in advance and should be paid no later than the Friday before
the week commences.
- In line with current trends we are happy to accept payment of after school fees monthly in
advance.
- Late collection - Where children are collected late a fee of £3.00 per child per hour or
part thereof will be charged.
- Late fees - A late fee of £5.00 per child per week will be charged for payments not received on
time and an administration fee of £10.00 per letter will be charged where we have to write to you requesting fees that are
overdue.
- We do from time to time receive requests for special payment arrangements requiring special invoices
to third parties. As this involves extra time and expense for us a small fee of £10.00 will be charged for each additional
invoice/letter prepared to cover the additional costs.
- It is regretted that unless payments are received in accordance with the above conditions, the
Club reserves the right to refuse to allow the child to attend.
- All dates booked must be paid for whether or not the children attend. In the event that
parents wish to cancel all or part of their booking on a permanent basis, they may do so but must give one months notice in
writing. Refunds will be given solely at the discretion of the Club.
- Fees are payable for School inset days and any other occasional absences. Parents are responsible
for letting the Club know at the earliest opportunity if a child will not be attending the Club on any particular day.
- In the event of any parent having a complaint arising as a result of a child's attendance at the
Club, notice of such complaint, and the grounds for it, must be given in writing to the Club as soon as practicable after
the circumstances giving rise to the complaint have come about. The Club agrees to investigate such complaint with due
diligence and to notify the parents of the outcome of such investigation and any remedial steps taken as a result.
- Should the need arise the Club reserves the right to change or vary any of the Terms and Conditions
at any time but will not do so without giving advanced notification.
- As a condition of booking all customers using the Club agree to be bound by the Terms and Conditions
as set out above and agree that registration and bookings may be cancelled by the Club at any time for any breach thereof.
